Our reservation policy

Booking Terms

Standard Rate

Free cancellation up to 6 days before arrival.

Cancellation within 5 days before arrival: 100% of the amount will be charged.

In case of no-show, the full amount will be charged.

Breakfast is included in this rate.

Non-Refundable Rate

No cancellation, change, or refund possible.

The full amount is charged on the day of reservation.

In case of no-show, the full amount will be charged.

General Terms and Conditions

1. Applicability

These terms are part of every hotel agreement and override other conditions unless otherwise agreed in writing.

2. Contracting Party

The contracting party is the person or entity making the reservation and/or payment. The customer is the person staying at the hotel.

3. Services and Stay

Our services are provided at the hotel premises unless otherwise agreed in writing.

4. Complaints

Complaints must be submitted in writing within 7 days after departure.

5. The Hotel Agreement

The hotel agrees to provide accommodation and standard hotel services. The customer agrees to pay the agreed amount.

6. Contract Form

The agreement is valid upon explicit acceptance of the reservation, verbally or in writing.

7. Duration of Stay

The stay ends on the agreed departure date, no later than 11:00 AM.

A late check-out will be charged as an extra night.

8. Right of Withdrawal

No right of withdrawal applies to distance contracts, in accordance with art. VI.53, 12° of the Belgian Economic Law Code.

9. Cancellations and No-Shows

Free cancellation up to 6 days before arrival.

Cancellation less than 6 days before arrival or no-show: 100% of the total amount will be charged.

Non-refundable bookings cannot be changed or cancelled.

10. Payment

  • Payment is due at check-in or check-out, unless an advance is required.

  • Late payments are subject to interest: Belgian Bank Federation rate + 2%.

11. Advance Payments

100% advance payment may be required no later than 3 days before arrival. In case of non-payment, the reservation will be cancelled.

12. Customer Responsibility

Guests are liable for damage to rooms, furniture, and public areas.

13. Hotel Liability

Hotel liability follows Belgian Civil Code articles 1952–1954, with certain limits and exceptions.

14. Pets

Pets are only allowed with prior approval from the hotel.

15. Check-In / Check-Out

Check-in from 3:00 PM.

Check-out by 11:00 AM.

16. Identification

Valid ID and credit card are required at check-in.

17. Late Arrivals

If arriving late without notice, the reservation may be cancelled and charges may apply.

18. Jurisdiction

Belgian law applies. Disputes fall under the jurisdiction of the courts at the hotel’s registered address.

Afternoon Tea Reservations

1. Availability

Afternoon tea is available on Friday, Saturday and Sunday.

Closed during July and August.

Reservations can only be made via the online form and are only confirmed after written confirmation from the hotel.

2. Confirmation & Payment

A few days prior to your reservation, you will receive a payment link to complete your booking in advance.

If payment is not received in time, the reservation will be automatically cancelled.

3. Cancellation Policy

  • You may cancel free of charge up to 2 days before your reservation.

  • If you cancel less than 48 hours in advance or in case of no-show, the full amount will be charged.

4. Menu & Allergies

We work with a fixed menu and no modifications are possible.

gluten-free and/or lactose-free version is available upon request, at least 5 days in advance, for an additional €20 per person.

5. Arrival Time

  • The selected time slot is indicative. If you expect to arrive later than planned, please inform us by phone in advance.

  • This allows us to prepare and serve your afternoon tea as smoothly as possible.

6. Gift Vouchers

Gift vouchers are accepted as payment, provided they are still valid and mentioned when booking.

7. Group Bookings

We can accommodate groups of up to 16 people.

For groups of 7 or more, please book at least 1 week in advance.

Groups larger than 10 guests are accepted only with written confirmation from the hotel.

8. Children

Our afternoon tea is tailored for adults. A children’s menu is not available.

Children are welcome as long as they are accompanied and able to participate calmly in the experience

Gift vouchers

1. General

Gift vouchers purchased via our website are issued by Hotel De Castillion and are valid exclusively for the services offered by the hotel, such as overnight stays, breakfast, or afternoon tea, subject to availability.

2. Validity

  • Gift vouchers are valid for 12 months from the date of purchase, unless stated otherwise.
  • After the expiry date, the voucher can no longer be redeemed.
  • Vouchers cannot be extended beyond their expiry date.

3. Use

  • Vouchers must be presented at the time of reservation and/or upon arrival.

  • Vouchers can be used only once, and no cash refund will be provided for unused amounts.

  • Vouchers are valid only for direct bookings and cannot be used via third-party platforms (e.g. Booking.com, Expedia, etc.).

4. Delivery

Gift vouchers are delivered either:

  • Digitally via email (free of charge), or by post in a premium gift envelope, with a €10 shipping & packaging fee.

Physical vouchers are dispatched within 3 working days after confirmation of payment.

  • The hotel is not responsible for postal delays or delivery issues caused by third parties.

5. Payment

  • Payment is required in full at the time of purchase.

  • Vouchers are only valid after receipt of payment.

  • All prices are in euros (€) and include VAT.

6. Modifications & Cancellations

Gift vouchers cannot be cancelled, exchanged, or refunded after purchase.

If a reservation using a voucher is cancelled within the allowed cancellation period, the voucher remains valid until its expiry date.

7. Lost or Misplaced Vouchers

  • Lost or misplaced vouchers can be resent upon request, either digitally or by post.

  • Administrative or re-shipping costs may apply.

  • Resending is only possible for vouchers that are still within their validity period and can be identified using the original purchaser’s details.

8. Right of Withdrawal

In accordance with Article VI.53, 1° of the Belgian Code of Economic Law, no right of withdrawal applies to gift voucher purchases, as they are considered a personalised product with a defined validity period.
